Terms of Service
Effective date: July 7, 2026
These Terms are built for how RecTrack actually works: organizers run competitions, players register and pay, guardians approve minors, scorers record live games, and teams communicate through one connected platform.
1. Agreement to these Terms
These Terms of Service are a binding agreement between you and RecTrack governing your access to and use of RecTrack's websites, mobile applications, dashboards, APIs, registration links, scorekeeping tools, payment flows, messaging features, and related services collectively, the "Services".
By creating an account, accessing a dashboard, registering for a competition, accepting an invite, paying a fee, using mobile features, or otherwise using the Services, you agree to these Terms and to the RecTrack Privacy Policy. If you use RecTrack on behalf of an organization, you represent that you have authority to bind that organization, and "you" includes that organization.
2. Eligibility and minors
- You must be at least 13 years old to use RecTrack. The Services are not directed to children under 13.
- If you are 13 through 17, you may use RecTrack only with appropriate parent or legal guardian involvement where required, and guardian verification may be required before you participate in competitions.
- If you are a parent or guardian, you are responsible for the minor's use of RecTrack and for the accuracy of any consent, relationship, authority, or electronic-signature information you provide.
- Organizations are responsible for determining whether their leagues, competitions, facilities, waivers, supervision practices, and eligibility rules are appropriate and lawful for minors.
3. What RecTrack provides
RecTrack provides software tools for recreational sports operations, including organization management, public discovery, registration, payments, team and roster management, scheduling, live scoring, stats, standings, brackets, game-film links, messaging, notifications, guardian workflows, and in-app assistance. RecTrack is a technology platform. Unless we expressly say otherwise in writing, RecTrack does not organize, supervise, sanction, insure, referee, sponsor, or operate the leagues, competitions, venues, games, practices, or events that organizations manage through the Services.
4. Accounts and security
- You must provide accurate account, profile, organization, payment, registration, guardian, and contact information and keep it current.
- You are responsible for safeguarding your credentials, sessions, devices, API access, and staff permissions.
- You must promptly notify us if you suspect unauthorized access, credential compromise, payment misuse, or security issues.
- We may require email verification, reauthentication, guardian verification, Stripe onboarding, or other checks before enabling certain features.
5. Organization and league responsibilities
- Organizations control their own competitions, rules, eligibility, pricing, refunds, rosters, staff access, communications, waivers, safety practices, venue arrangements, and participant decisions.
- Organizations must have all rights, consents, notices, and legal bases needed to collect and use participant, staff, guardian, payment, waiver, media, and messaging information in RecTrack.
- Organizations must not use RecTrack to discriminate unlawfully, misrepresent events, hide material fees, run illegal contests, or collect information they do not need.
- Organizations are responsible for reviewing exported data, protecting it outside RecTrack, limiting access to authorized personnel, and honoring applicable privacy, youth-sports, payment, tax, consumer-protection, and recordkeeping obligations.
- If you add manual players, upload rosters, invite people by email, or submit information about another person, you represent that you have authority to do so.
6. Payments, subscriptions, and fees
- RecTrack uses Stripe and related payment services to process subscriptions, registration fees, saved payment methods, refunds, disputes, connected-account onboarding, payouts, and payment compliance.
- By starting a checkout, saving a payment method, paying a registration obligation, or subscribing to a plan, you authorize the applicable charges, payment method use, taxes, platform fees, processing fees, recurring charges, and adjustments disclosed in the checkout or plan flow.
- Adult profile users may save payment methods where supported. Minors may not save payment methods. RecTrack does not store full card numbers, CVV codes, or bank login credentials.
- Organizations are responsible for their own registration pricing, refund policies, tax obligations, chargeback handling, and participant communications unless RecTrack expressly states otherwise.
- Subscription plans may include feature limits. We may block or downgrade features if a subscription is unpaid, past due, canceled, restricted, or exceeds plan limits.
- Payments may be delayed, declined, reversed, suspended, or withheld due to risk review, chargebacks, suspected fraud, legal obligations, Stripe requirements, or violations of these Terms.
7. User content and license
"User Content" means information and materials that users or organizations submit to RecTrack, including profiles, logos, avatars, banners, descriptions, schedules, messages, announcements, team names, roster information, scores, stats, game events, waiver text, instructions, YouTube links, registrations, payment-related metadata, reports, and assistant or voice-scoring inputs.
You retain ownership of your User Content. You grant RecTrack a worldwide, non-exclusive, royalty-free license to host, store, copy, process, transmit, display, publish, modify for formatting or technical purposes, analyze, and otherwise use User Content as needed to provide, secure, support, improve, and enforce the Services. You represent that you have all rights needed to grant this license and that your User Content does not violate law, rights, league rules, or these Terms.
8. Public and shared information
RecTrack is built around shared sports operations. Depending on settings and feature context, organization profiles, competition pages, schedules, team names, rosters, player display names, usernames, avatars, scores, stats, standings, brackets, game-film links, and announcements may be visible to organization staff, teammates, opponents, guardians, spectators, invited users, or the public. Do not submit information you are not authorized or comfortable sharing in the applicable context.
9. Communications and notifications
You agree that RecTrack, organizations, teammates, guardians, captains, and service providers may send you transactional emails, push notifications, in-app notices, registration messages, guardian messages, payment notices, security alerts, and service updates related to the Services. You can manage certain notifications in product or device settings. You cannot opt out of essential security, legal, payment, or account communications.
10. Assistant and voice-scoring features
- Assistant and voice-scoring features may use AI or machine-learning providers to interpret prompts, product questions, spoken phrases, rosters, and game context.
- AI outputs may be incomplete, delayed, or wrong. You are responsible for reviewing assistant answers, voice-scoring candidates, stats, scores, rosters, and game events before relying on them.
- Do not submit highly sensitive information, confidential league secrets, health information, financial account numbers, government identifiers, passwords, or information you do not have authority to process through AI features.
- RecTrack may limit, meter, suspend, or change assistant and voice-scoring features to manage cost, abuse, model quality, safety, provider availability, or legal requirements.
11. Acceptable use
- Do not use RecTrack for unlawful, deceptive, fraudulent, harmful, harassing, hateful, exploitative, violent, or abusive activity.
- Do not upload malicious code, probe or attack systems, bypass access controls, scrape at unreasonable scale, interfere with realtime channels, or misuse APIs.
- Do not impersonate another person, misrepresent authority, forge guardian consent, create fake payment activity, manipulate scores or stats dishonestly, or submit false safety reports.
- Do not post or send content that infringes rights, violates privacy, reveals confidential information, sexualizes minors, threatens safety, or would be illegal to share.
- Do not use RecTrack to collect, process, or publish sensitive information unless you have a lawful basis and the feature is appropriate for that information.
- Do not resell, white-label, reverse engineer, copy, or commercially exploit the Services except as expressly allowed in writing.
12. Safety, sports risk, and moderation
Recreational sports involve physical risk. RecTrack does not provide medical advice, emergency services, background checks, insurance, facility inspection, referee services, athlete screening, concussion protocols, safeguarding programs, or legal compliance programs. Organizations, participants, guardians, coaches, facility operators, and officials are responsible for event safety and compliance. We may remove content, restrict accounts, block users, preserve records, notify organizations, or cooperate with authorities when we believe there is a risk of harm, abuse, fraud, illegality, or rights violations.
13. Third-party services
The Services may integrate or link to third-party services such as Stripe, Supabase, Mapbox, Expo, email providers, OpenAI or other AI providers, Google, Apple, YouTube, app stores, venue data providers, and payment networks. Third-party services are governed by their own terms and privacy policies. RecTrack is not responsible for third-party services that we do not control, but you must comply with applicable third-party terms when using integrated features.
14. RecTrack intellectual property
RecTrack and its software, designs, trademarks, logos, product names, workflows, documentation, templates, dashboards, and other materials are owned by RecTrack or its licensors and are protected by intellectual property laws. Except for the limited right to use the Services under these Terms, no rights are transferred to you. Feedback you provide may be used without restriction or compensation.
15. Availability and changes
We may update, suspend, limit, replace, or discontinue features at any time, including beta, free, trial, experimental, AI, realtime, payment, or mobile features. We try to keep RecTrack reliable, but we do not guarantee uninterrupted availability, error-free operation, preservation of every item of data, or compatibility with every device, browser, venue, league format, or third-party service.
16. Suspension, termination, and account deletion
You may stop using RecTrack at any time and may request account deletion where available. We may suspend, restrict, or terminate access if we believe you violated these Terms, created risk, failed to pay, exceeded plan limits, caused legal exposure, or used the Services in a way that may harm users, organizations, RecTrack, providers, or the public. After termination or deletion, certain information may be retained as described in the Privacy Policy, including historical competition, payment, audit, compliance, dispute, and security records.
17. Disclaimers
TO THE MAXIMUM EXTENT PERMITTED BY LAW, THE SERVICES ARE PROVIDED "AS IS" AND "AS AVAILABLE" WITHOUT WARRANTIES OF ANY KIND, WHETHER EXPRESS, IMPLIED, OR STATUTORY, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE, NON-INFRINGEMENT, SECURITY, AVAILABILITY, ACCURACY, OR RELIABILITY. RECTRACK DOES NOT WARRANT THAT SCORES, STATS, STANDINGS, BRACKETS, PAYMENT STATUS, AI OUTPUTS, LOCATION DATA, NOTIFICATIONS, OR USER CONTENT WILL BE COMPLETE, ACCURATE, TIMELY, OR ERROR-FREE.
18. Limitation of liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, RECTRACK AND ITS AFFILIATES, OFFICERS, DIRECTORS, EMPLOYEES, CONTRACTORS, LICENSORS, AND PROVIDERS WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, LOST REVENUE, LOST DATA, BUSINESS INTERRUPTION, REPUTATIONAL HARM, PERSONAL INJURY, PROPERTY DAMAGE, EVENT CANCELLATION, PAYMENT DISPUTES, OR THIRD-PARTY CONDUCT, EVEN IF ADVISED OF THE POSSIBILITY. TO THE MAXIMUM EXTENT PERMITTED BY LAW, RECTRACK'S TOTAL LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICES WILL NOT EXCEED THE GREATER OF $100 OR THE AMOUNTS YOU PAID TO RECTRACK FOR THE SERVICES GIVING RISE TO THE CLAIM IN THE 12 MONTHS BEFORE THE EVENT GIVING RISE TO LIABILITY.
19. Indemnification
To the maximum extent permitted by law, you will defend, indemnify, and hold harmless RecTrack and its affiliates, officers, directors, employees, contractors, licensors, and providers from claims, damages, losses, liabilities, costs, and expenses, including reasonable attorneys' fees, arising from your User Content, your organization or competition, your payments or refunds, your violation of these Terms, your violation of law or third-party rights, your misuse of the Services, or your failure to obtain required consents or authority.
20. Governing law and dispute resolution
These Terms are governed by the laws of the State of Michigan, without regard to conflict-of-law rules, except where applicable law requires otherwise. Before filing a claim, you and RecTrack agree to try to resolve the dispute informally by emailing support@rectrack.app and giving the other party 30 days to respond.
To the maximum extent permitted by law, disputes that cannot be resolved informally will be resolved by binding individual arbitration, not in a class, consolidated, representative, or jury proceeding. This arbitration agreement does not prevent either party from seeking injunctive relief for misuse of intellectual property, unauthorized access, security abuse, or confidentiality violations, or from bringing an eligible claim in small claims court.
21. Changes to these Terms
We may update these Terms from time to time. If changes are material, we will provide notice as required by law, such as by posting the updated Terms, changing the effective date, or sending an in-product or email notice. Your continued use of the Services after changes become effective means you accept the updated Terms.
